Operations Assistant (Fixed Term Contract)

Salary: National Minimum Wage

Hours: 37.5 hours, Monday to Friday (with overtime, including Saturdays during busy periods)

We are recruiting an Operations Assistant to join our Operations team in our distribution centre in Birmingham city centre.

In this role you will:

  • Ensure that customer orders are swiftly, accurately and efficiently handled in order to provide the best possible service to our customers
  • Work flexibly in various operational areas of the business on an ‘as need’ basis, with the opportunity to specialise in a particular function should need dictate

Each operational area and key duties are detailed below:

1. Goods inwards

  • Unpack and warehouse goods from our suppliers
  • Match goods against routing slips
  • Identify and action discrepancies between goods delivered and those ordered

2. Order checking & stationery production

  • Warehouse products according to routing instructions
  • Produce “stationery files” itemising the products to be shipped to customers and detailing any production processes required for each
  • Sequence products according to the order of the “stationery files” ensuring that the product and quantity of products is correct with no damages
  • Create jobs in our production tracking system and ensure that any necessary instructions and documentation are created and passed on through our internal supply chain
  • Produce the required stationery necessary to complete jobs in our production tracking system according to the instructions for each customer

3. Servicing & invoicing

  • Affix various labels to products according to product type and customer instructions
  • Fit plastic book covers according to product type and customer instructions
  • Ensure the accuracy of earlier processes by ensuring goods and stationery match the job and customer expectations
  • Identify and action discrepancies
  • Produce invoices using IT applications according to the requirements of our customers

4. Dispatch

  • Pack products according to customer instructions ensuring that no damage occurs in transit
  • Dispatch products using our own and courier systems to ensure traceability
  • Ensure daily delivery deadlines are met

5. Customer bookshop

  • Warehouse products according to routing instructions and standard guidelines
  • Order pick products from the bookshop using the relevant IT application
  • Process customer selections and school book packs from the bookshop using IT applications

You will need:

  • Accuracy and attention to detail – it is important that every job contains the correct products and in the exact order required
  • A good standard of written and spoken English – it is important that you can follow the training you will receive and any written instructions for each batch of work
  • Focus and concentration – the requirements of our customers are complex and varied
  • The ability to work with minimal supervision, the initiative to resolve minor problems and to liaise with the operations management team to identify and resolve larger issues
  • Experience of computer packages would be beneficial though full training on our internal systems will be provided
  • The ability to carry out the physically demanding tasks of the job which may include sitting and standing for long periods, pushing trolleys, as well as lifting and carrying goods
